How to Organize a Responsible Nonprofit Media Workflow
A practical editorial checklist for organizing source footage, obtaining consent, checking facts and reviewing nonprofit media before publication.
Keep original source files
Store unaltered photos, interviews and footage separately from edited exports. Use consistent filenames and record the date, location and source when it is safe to do so. Restrict access to sensitive material.
Confirm permission and protect dignity
Obtain appropriate consent before using identifiable images or stories. Consider whether publishing a person's location or circumstances could expose them to harm. People receiving assistance should never feel pressured to participate in promotional content.
Separate facts from plans
State clearly what an organization has completed, what is underway and what remains a goal. Check numbers, dates and program descriptions against primary records before writing captions or scripts.
Review every draft before release
Have a responsible person check factual claims, names, captions, subtitles, licensed music and image rights. Automated editing can help prepare drafts, but final publication requires human judgment.
Measure usefulness, not just views
Review whether audiences understand the mission, can find verified updates and know how to ask questions. Reach and engagement are not evidence of program impact by themselves.
